How to Use the Outlook Screenpop Application

This application is no longer supported.

Our screenpop application for Microsoft Outlook works with your Snom telephone to automatically display customer contact details and/or a new journal entry when you answer your phone.

How Do I Use It?

  1. Download, install and configure the Voipfone Outlook Screenpop application
  2. Answer an incoming call
  3. Depending on the settings you choose, the caller's Outlook contact page will appear on-screen, with a new journal entry to record details of the call

What Does It Work With?

You will need:

  1. A Windows PC running XP, Vista. Windows 7, Server 2003 or Server 2008
  2. Microsoft Outlook 2000, 2002 (XP), 2003, 2007 or 2010
  3. A Snom VoIP telephone registered to a Voipfone account

How to Install

Before you start, you need to have handy the email address that you registered with Voipfone, your 8 digit account number starting with a '3' and your 6 digit password.

  1. Download and run the Voipfone Outlook Screenpop application
  2. If you see the message "Do you want the following program from an unknown publisher to make changes to this computer?" Click Allow
  3. Agree our Terms and Conditions then follow the on-screen instructions
  4. Once the installation has completed, the Screenpop Configuration program will start

Please note: The Voipfone Outlook Screenpop program requires Microsoft .Net 3.5. This comes pre-installed with Windows 7, but for other versions of Windows you may be prompted to download and install it. If you are installing the Screenpop application on more than one PC, you may prefer to download the .Net 3.5 runtime directly from Microsoft and install it on all those machines first.

How to Configure

The configuration program runs automatically at the end of the installation. You may also run the configuration at any time by clicking on the Voipfone icon in the system tray.

When the configiuration program starts, it first tries to find your telephone, using any previously saved settings.

If this is the first time the configuration program has run, or the phone cannot be found, you will be asked to enter the IP address of your phone.

Enter the IP address. If you do not know the IP address, press the '?' on your SNOM phone, and it will be shown in the display. Click OK, The program will attempt to connect to the phone to ensure that it exisits and is a suitable model.

Once the phone has been found, you will be presented with the main configuration screen.

At the top of the form are your telephone details. If you need to modify them to work with a different phone, click Change to enter a new IP address.

The Contacts section allows you to choose whether to display the contact details of an incoming caller. If this is checked, then you can also choose whether to open a new blank contact entry for callers who are not already in your contact list.

The journal section allows you to choose whether to display a new blank journal entry for the call. When selected, you can choose between having the journal appear when the call is ansered, or when you hang up. You can also choose to have a journal entry appear even if the caller is unknown, although in this case the entry will not be associated with a contact.

If 'Record call duration' is checked, at the end of the call the journal entry will be modified to contain the length of the call, rounded up to the next whole minute.

When you are finsihed choosing your settings, click Save. Your phone will be automatically set up to notify the Screenpop application when calls are answered, and the screenpop application will be restarted. The screenpop application appears as a small Voipfone logo in your system tray. If there are any problems, a red exclamation mark will appear over the icon, and hovering the mouse pointer over it will produce a pop-up explaining the problem.

If the Save button is disabled, check the phone settings at the top of the page. If they do not show the correct details, click Change to enter a new IP address.

The screenpop application also has the ability to ignore phone numbers. To define which numbers to ignore, click the Filters button on the main configuration screen.

You may enter whole or partial phone numbers, and choose whether the number should start with, end or contain the specified digits in order to be ignored. When you are done, click Save to store your filters and return to the main configuration screen.
